Mortgage CRM Lead Import: Fields Every Refinance Lead Should Include

A practical field map for importing refinance leads into mortgage CRMs and dialers.

A refinance lead is only as good as the fields that travel with it. You can buy the most accurately targeted records on the market, but if your mortgage CRM lead import drops half the data or stuffs it into the wrong columns, your agents open every call blind. The difference between a dialer-ready lead and a name-and-number you have to research from scratch is the field map. This guide lays out the fields every refinance lead should include, why each one earns its place in your CRM, and how to import them cleanly so records arrive truly CRM-ready.

The contact core

Everything starts with reaching the borrower and reaching them legally. The contact core is the minimum a record needs to be dialable on arrival, and it should land in clearly typed fields rather than a free-text blob.

  • First and last name, parsed into separate fields.
  • DNC-scrubbed phone, normalized to a consistent format your dialer accepts.
  • Email address, validated for syntax.
  • Property address with city, state, and ZIP as discrete fields.
  • Time zone derived from location, so your dialer respects calling windows.

The predictive refinance fields

This is the data that turns a cold dial into a relevant conversation. These fields are surfaced by our proprietary AI model and give your agent the borrower's likely situation before the call connects. Estimated current rate and loan balance let an agent frame the savings conversation immediately. Origination date signals how seasoned the loan is and whether a refinance pencils out. Property AVM value and equity position tell the agent whether a cash-out or rate-and-term pitch is the right opening. All rate figures are estimates for prioritization and conversation framing, never exact quotable terms, and your CRM fields should be labeled that way so agents do not misrepresent them.

Routing and segmentation fields

Beyond the borrower's own data, every record should carry the metadata your CRM needs to route it. These fields rarely get surfaced to the agent but they drive everything that happens before the agent sees the lead.

  • Intent or priority score, so high-likelihood borrowers route to your best closers.
  • Product tag (rate-and-term, cash-out, or general refinance) for specialist routing.
  • State and market tags matched to your licensing footprint.
  • Lead source and campaign identifier for attribution and ROI tracking.
  • Unique lead ID, the single most important field for dedup and replacement tracking.

Why the unique ID matters more than anything

If you import one field carefully, make it the unique lead ID. It is the key that lets you dedupe across batches, reconcile a replacement against the original record, and trace a closed loan back to the campaign that produced it. Without a stable ID, your CRM treats every re-delivery as a new borrower and your dedup logic has nothing reliable to match on. A good import preserves the vendor's lead ID as a dedicated, indexed field rather than overwriting it with your own internal record number.

Mapping fields cleanly on import

Most failed imports are not data problems; they are mapping problems. A column that arrives as "est_rate" gets ignored because your CRM expected "estimated_rate," and suddenly your agents have no rate to reference. Lock the field map once and reuse it. Agree on exact field names, date formats, and how state is encoded before the first batch lands. If you are importing from CSV, save the mapping as a reusable template; if you are pulling via API, the schema is fixed in the contract so the mapping never drifts. Either way, validate the first batch row by row before turning the dialer loose on it.

A dialer-ready import checklist

Before you push a fresh batch live, run it against a short checklist so you catch problems while they are cheap to fix.

  • Phone numbers are normalized and DNC-scrubbed, with no blanks in the primary phone field.
  • State tags align with your active licenses and out-of-footprint records are held.
  • The unique lead ID is populated on every row and indexed in your CRM.
  • Predictive fields (estimated rate, balance, AVM, equity) are mapped and labeled as estimates.
  • The batch has been deduped against your existing pipeline before agents dial.
  • Product and score tags are present so routing rules can fire.
